Annual Inspections, Tenant-Shareholder Self-Assessment & Storage Clean-outs

Tenant-Shareholders should complete the following and submit their signed copies annually to the Board of Directors at 4900DrexelMaintenance@gmail.com or mail them to 4900 Drexel Co-operative Apts, PO BOX 53315, Chicago, IL 60653-0315. Printed copies for Tenant-Shareholder completion can be provided by request.

In accordance with the Bylaws and Proprietary Lease, the Board of Directors will perform Annual Inspections for each apartment and associated storage unit.

So why are routine, annual inspections so important?
A routine inspection is more than just a quick walk-through. It's an evaluation of your property that can help to alert you to potential problems at your rental. You could find maintenance issues that have been overlooked and discover repairs that need to be made. Regular inspections help preserve the value of your property by catching small issues before they become much larger problems.

Prior to your Annual Inspection…
Prior to your inspection, please complete the Self-Assessment Annual Inspection Checklist (click button below). Please note that the checklist is an assessment. It does not mean you need to have all the outstanding projects and repairs completed before your inspection. The Board of Directors will work closely with you also assess the necessary projects and repairs, if any, and determine reasonable deadlines to complete the necessary tasks. Should you need assistance or vendors to complete any projects, the board has preferred vendors and resources available for you.

About Housing Co-operative Tenant-Shareholders

  • The owner of a housing co-op does not own the apartment (unit). 

  • The co-op is a corporation, complete with a corporate board of directors, and each resident is a “shareholder.” 

  • Co-op buyers do not sign a deed. Instead, they purchase shares of the corporation, shares that include a proprietary lease granting use of a specific apartment (unit). Therefore, the buyer is also a tenant/lessee.  The number of shares owned is based on the size of the unit.

  • The “mortgage” that the buyer may receive when making a co-op purchase is not really a mortgage but rather a loan to purchase shares.

Tenant-Shareholder (Lessee) Responsibilities

  • Basements:

    • Removal of accumulation of refuse and debris and keep premises clean.

      • Tenant Storage Units, Debris, Rodent Harborage, Fire Hazard

  • Annual Apartment Inspections

  • Walls & Ceilings

    • Maintain Interior Walls, ceilings, and woodwork free from flaking, peeling, chipped or loose paint

    • Maintain Interior walls and ceilings free from holes and/or cracks.

    • Maintain interior ceilings and walls reasonably smooth, clean and tight and free from chipped or loose plaster or structural material. 

  • Exterior Doors

    • Remove obstruction from exitway that hampers travel and evacuation

  • Windows and Screens

    • Maintain Window Sash in Good condition and so it fits reasonably tight within its frame

    • Maintain windows in sound condition and good repair. 

    • Screen outer doors, windows, and other outer openings adequately from April 15 - November 15

    • Replace broken, missing or defective window panes.

  • Pest Control

    • Exterminate rodents in apartments and seal openings through which they gain access.

  • Safety Hazards

    • Install and Maintain approved smoke detectors 

    • Install carbon monoxide detectors within 40 feet of every sleeping room in each residential structure. 

    • Install fire extinguishers 

Storage Unit Clean-Out

Tenant-Shareholders are responsible for organizing and cleaning out their storage unit in their tier’s basement.

  • All items must be organized within each tenant-shareholder’s storage unit.

  • Items may NOT be kept outside of a storage unit.

    • Exception to this: washers, dryers, bicycles

  • Items within a storage unit should be kept within plastic storage containers or totes.

  • Shelving units are highly recommend.

  • Items that cannot be kept in the basement include but are not limited to: food, clothing, bedding, etc.

It is important that items stored in the basement do NOT create a breeding ground for rodents and pests.

Junk Disposal for Apartment and Storage Unit

  • Garbage Cans located on the porches are NOT to be used to dispose of heavy items.

  • Tenant-Shareholders cleaning out their storage units and removing their items from the common area spaces CANNOT dispose junk items in the Co-op’s trash cans or alley dumpsters.

  • Tenant-shareholders must arrange for disposal of their items through a junk removal company or similar option.

  • Tenant-shareholders are responsible for any costs associated with removing their items.

  • All items not removed from common areas (basements) will be disposed of and billed to the respective tenant-shareholder.

  • Co-op is not responsible for the loss, theft, etc. of any items stored in the basement storage unit (inside or outside)
